PA to Chief Executive and Executive Team Part-time (Tues-Thurs), Term Time Only Salary: H5 - H7 depending upon experience Location: AET Hub, Garden Fields JMI School, St Albans AL3 5RL We are seeking a highly organised, proactive, and discreet Personal Assistant to join our central operations team. Based at our central office within Garden Fields School, you will play a pivotal role in bridging the gap between central operations, school leadership teams, Trustees, and Governors. The Role As a core member of the central team, your primary focus will be providing high-quality, forward-thinking, and completely confidential personal assistance and administrative support to our CEO and wider Executive Team. Through meticulous planning and exceptional communication, you will ensure the smooth day-to-day running of the executive function—managing complex schedules, coordinating trust-wide information, and acting as a warm, professional liaison across our schools. Key Responsibilities Include: Executive Support: Act as the primary point of contact for the CEO; screening calls, managing correspondence, and highlighting high-priority or urgent matters with objective context. Diary & Calendar Management: Maintain calendars for the Executive Team, proactively resolving conflicts, and coordinating the overarching Trust calendar across all 10 schools. Meeting & Board Governance Support: Organise meetings, committees, and events. This includes agenda preparation, collating/distributing comprehensive board packs, and high-level minute-taking. Documentation & Reporting: Produce, edit, proofread, and format professional reports, presentations, and briefings for internal and external stakeholders. Collaboration & Liaison: Build trusted relationships with Headteachers, school-based staff, Trustees, and Local Governors, chasing and collating cross-trust data under your own initiative. About You (Person Specification) Experience & Knowledge Essential: Proven experience as a PA, EA, or Clerk supporting a CEO, Director, or Board of Executives. Essential: Extensive experience in high-level minute-taking, agenda management, and preparing formal committee/board packs. Essential: Handling highly sensitive, confidential, and GDPR-regulated information with absolute discretion. Desirable: Knowledge of Multi-Academy Trusts (MATs), DfE, ESFA, and Ofsted frameworks, or experience working within the education sector. Desirable: Experience with school systems (e.g., Arbor, Bromcom, SIMS) or board software (e.g., GovernorHub). Skills & Attributes Communication: Outstanding written and verbal skills, with meticulous proofreading abilities and high standards of accuracy. Tech-Savvy: Advanced proficiency in MS Office 365 (Word, Excel, PowerPoint, Teams) or Google Workspace. Flexibility & Resilience: A calm, focused approach under pressure, with the willingness to occasionally attend evening Trustee/Board meetings as required. S
